In order to avoid any misunderstanding in respect of your booking, the following Terms of Business apply to all bookings relating to ground/pitch hire at The Club.   “The Club” refers to Cheam Cricket Club; and “You” and “Your” refers to the person (who must be 18 years or older) or cricket club/organisation/association (which must maintain a set or rules/constitution).

Pitch hire fees: main square £200; top square £150; teas £125 per match. 

  1. Booking & Enquiry Confirmation:  You may hold a date for a period of 14-days.  However, any booking is provisional until the Club receives a signed copy of these terms, along with 50% of total costs as a non-refundable deposit, receipt of which is your acceptance of these terms.  Your option will lapse after 14-days and the facilities remarketed if The Club has not received both the signed terms of business and deposit.
  2. Payment:  The remainder of the full outstanding contract balance is payable 14-days prior to your hire date.  If enquiry/booking falls within one month prior to your required date, payment for 100% of all fees is mandatory.  Invoices issued you require payment within 7-days of date of issue and must be paid via BACS transfer; (The Club’s banking details available via invoices issued).
  3. Cancellation Policy:  Up to 14-days prior to the hire taking place, The Club will retain the non‐refundable deposit.  Less than 14-days before the hire is due to take place 100% of the total booking value will be required.
  4. In the event that a match is abandoned by you or called off by The Club, due to rain/or the ground being unfit for play, The Club’s fixture secretary will liaise with the hirer to identify an alternative date within the season, subject to availability.  There is no right of refund for matches cancelled if an alternative date is unavailable.
  5. Cancellation by us because of events beyond our control: The Club must receive payment in full of the total booking value by the due date otherwise, your booking is automatically cancelled, and your non‐refundable deposit retained.  In the unlikely event that The Club has to cancel your booking for reasons other than non‐payment, you will receive back all deposits paid and any pre‐payments that you may have made, although The Club will not have any other liability.
  6. Insurance: We require a copy of your Public Liability Insurance/Cricket Club insurance certificate worth at least £2,000,000.  This cover should at least provide protection for your club or team’s property, and injury.  Should any damage occur to The Club or The Club property during the hire, then you will be liable for the full cost of the damages and any associated damage costs. 
  7. Pitches and facilities use: In circumstances that are beyond our control, The Club cannot accept any liability.  In the event where games are not started or abandoned, due to adverse weather conditions and/or risk of injury, and where food has been pre-ordered, all food ordered and confirmed will be charged for.  (See appendix 1.  Ordering teas).
  8. Etiquette and Conduct: All participants must maintain acceptable levels of behaviour and noise inside and outside at The Club.  The Club reserves the right to stop a hire, without being liable for refund or compensation.  Under no circumstances should any child under the age of 16 be left unaccompanied in any part of the grounds or buildings at The Club, at any time.
  9. Contract: This contract is governed by English Law and the courts; and is not transferable or assignable to anyone else.

Please sign and return these terms to confirm that you have received and agreed with them so we can confirm your booking.  We advise you to retain a copy for your own records.

Appendix 1:-

Ordering cricket teas (2018 season):

In the event that games are not started or abandoned due to adverse weather conditions and/or risk of injury, where food has been pre-ordered, all food ordered and confirmed will be charged for.

The cost of each tea, (i.e. 22 players, 2 umpires and 2 scorers), is set at £125 per match; and if required should be indicated as such on the booking form.  The £125 fee is added to every third-party pitch hire invoice, payment of which is to be made direct to The Club as per the terms set out within the invoice.

Teas will be available to the players and officials between 4.30pm and 5.30pm on the day of hire, unless otherwise agreed with The Club/club caterers prior to match start.  Teas are served in the Sports Club’s boardroom, or in the Clubhouse lounge.  (Please check on the day).

Food allergies: Any dietary requirements, food allergies and/or catering requirements and menu choices must be advised to us at the time of booking or prior to the booking of the hire via the booking form.  Our caterers are able to work with most requirements; however, we cannot guarantee adherence and cannot accept responsibility for non‐adherence.
